An International Research-Material Shipping Checklist

Adapted from the Jike Bio source article, International Peptide Shipping: Customs, Cold Chain, and Best Practices. The original is retained in the site archive. This guide supports shipment preparation and communication. It does not state admission rules for particular destinations; acceptance and documentation must be checked for the actual material, route and applicable requirements.

Confirm the material and recipient

  • Record the product name, identifier, quantity, form, packaging and intended research use.
  • Check the receiving institution, contact person, complete address and working contact details.
  • Establish who will receive the shipment and respond to document requests.
  • Ask the recipient about institutional purchasing, receipt and storage procedures, including any materials that need separate assessment.

A research-use description alone does not establish eligibility for every destination. Experience with an earlier order is useful background, but it is not confirmation for the next shipment.

Prepare accurate documentation

Have the responsible parties check the commercial invoice, packing information and material description against the actual goods. Names, quantities and values should be accurate and consistent. Confirm whether batch-specific analytical records, safety information or other documents are needed, and identify who will provide and review them. Ask the appropriate responsible person to verify classification and declaration details rather than copying a generic code from an article. Do not rename materials, understate values or omit information to avoid review.

Check carrier acceptance and responsibilities

Describe the real material and packaging to the proposed carrier. Confirm acceptance, relevant qualifications, service scope and any additional documentation or handling conditions. Agree tracking arrangements, handover records, contact channels and responsibility for exceptions. Check the actual written terms for insurance, replacement or return arrangements; do not assume that the same protection applies to every order.

Plan handling from batch information

Use the applicable batch documents and confirmed arrangements to establish storage and transport needs, including any requirements concerning temperature, light or moisture. Do not transfer instructions from another material or delivery form without review. If insulation, temperature recording or special packaging is required, agree who will provide it and what will be checked on receipt.

Keep records through receipt

Retain tracking references, document versions and handover information. For delays, document requests or packaging problems, contact the designated party and provide accurate information through the agreed process. On arrival, check packaging, quantity and batch identification, record exceptions, and transfer the material to the appropriate storage process. Outcomes and any further arrangements depend on the actual circumstances and the agreed terms.
